Midday: a client scoping conversation.

Afternoon: a finished proposal.

In between: my AI staff.

Most people write proposals themselves. For hours.

I delegate this — to roles that work according to SOPs (prompts).
What are SOPs?

Standard Operating Procedures = playbooks governing how roles collaborate.

→ Not "GPT" or "agent"

→ But role + SOP + handoffs

Here is exactly how my proposal process works:

1. Voice input, five minutes

After the client scoping conversation, I dictate a summary into the chat window:

→ Client, situation, objective

→ Budget range, timeline

→ Special considerations, risks

2. SOP activates automatically

The "Create proposal" SOP now orchestrates several roles:

→ Who does what?

→ In what order?

→ Which human-in-the-loop (HITL) gates?

3. Roles work sequentially:

Scout (Research) — researches client context: website, LinkedIn, sector

Rudi (Systems) — retrieves relevant templates, earlier proposals and SOPs

Dana (Decision) — structures the proposal logic: phases, deliverables, effort estimates

Personas (Customer Check) — review from the client's perspective: CEO: scalability? CFO: ROI? HR: feasibility?

LEX (Legal) — checks compliance: terms, liability, GDPR clauses

4. Human-in-the-loop gate: I review and decide

→ Does the structure fit?

→ Is the effort realistic?

→ Approval: yes or no

5. Finished proposal: under one hour instead of two days

The difference from "normal" AI tools:

❌ Classic tool zoo:

→ I have to remember everything

→ Context is lost

→ Every request starts from zero

→ Quality is accidental

✅ Operating system with roles and SOPs:

→ The SOP orchestrates automatically

→ Every role knows its purpose

→ Context is retained: Rudi retrieves earlier proposals

→ Quality gates safeguard the result

The result:

→ Two hours instead of two days

→ No copying and pasting from old proposals

→ Integrated compliance check

→ Repeatable quality

This is not a "better prompt".

It is a hybrid operating system!
