As a managing director, you see the problem every day: everyone raves about ChatGPT and AI. But nobody can tell you what it actually delivers.

Last month at a mid-sized mechanical and plant engineering company:

"We have ChatGPT, Copilot, Midjourney — but honestly? I do not know whether we are faster or just busy."

That is the AI tool zoo.

Lots of enclosures. Lots of enthusiasm. But no connections between the animals.

Specifically at this client:

Four months ago: eight hours per client proposal for research, calculations, writing and approval.

Today: three hours per proposal.

At 120 proposals a year: 600 hours saved = 75 working days.

What did we do?

We did not buy more tools.

Instead, we broke down the existing process and asked:

  1. Where does manual work cost us the most time?
  2. Where can AI really help without compromising quality?
  3. What must people continue to decide?

The result:

→ Research and market data: AI, previously two hours, now 30 minutes

→ Standard calculations: AI, previously 1.5 hours, now 20 minutes

→ Proposal draft: AI, previously one hour, now 15 minutes

→ Pricing decision and approval: human, as before

No tool zoo.

An operating system with clear roles, defined handovers and quality gates.

That is the difference:

In the tool zoo, enthusiasm for the individual tool takes centre stage.

In the operating system, business context, ROI and process take centre stage.

The question for you:

Do you just have tools — or a system that demonstrably saves you time and money?

💬 How structured is your AI use? Tool zoo or operating system?
